MSYG Committees: Now HIRING


Hey Everyone!

MSYG is currently looking for enthusiastic and devoted individuals to join our team for 2014! 

So if you're looking to get involved, gain valuable learning experience, and meet new people, now's the time to do so! 


Current positions available:

OPERATIONS DEPARTMENT

External Events Coordinator (4 positions)
  •  Reports to the Vice-President of Operations
  •  Develops, organizes, and manages social and networking events. These events include, but are not   limited to, Rock-climbing, Mix and Mingle, CN Tower Climb, etc.
  •  Ensures the smooth and efficient execution of the aforementioned external events


SPECIAL PROJECTS DEPARTMENT

Vice-Chair (1 Position)
     Responsible for vice-chairing and overseeing the logistics and planning of the special “Gala” project
     Working with the Chair (VP of Special Projects), assists in creating timeline for the execution of project deliverables
     Supervises the responsibilities for the Sponsorship Manager, Programming Manager, Logistics Manager, Finance Manager, Marketing Manager and Outreach Manager
     Reports to the Chair (VP of Special Projects), on progress of activities
     Attends and participates in all meetings with team members


Sponsorship Manager (1 position)
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     Responsible for acting as the liaison in negotiations between corporations, companies, and/or organizations and MSYG
     Manages the sponsorship team to execute sponsorship outreach, follow-up, and other duties pertaining to the procurement of sponsorships and funds
     Supports and works closely with the finance team and marketing department to secure sponsorships and develop strategic partnerships with local businesses and corporations
     Develop sponsorship packages for circulation to local and national businesses and potential corporate sponsors. Sponsorships may include monetary donations, food donations, and/or publicity exchanges
     Maintains relations with current sponsors and actively seeks out opportunities for  new relationships with potential sponsors
     Ensures that the terms, agreements, and needs of gala sponsors are met before, during and after the gala. This includes logo appearance on website and social media outlets, digital and print materials, acknowledgements during the gala, advertisements in the program book, complimentary tickets, table reservations at the gala, etc.
     An post-gala report will be developed and presented to the sponsors

Sponsorship Associate
     Reports to the Vice-Chair, Vice-President of Special Projects, and Sponsorship Manager

     Works with the Sponsorship Manager to acquire sponsorships from local businesses and corporations. (Sponsorships include may monetary donations, food donations, and/or publicity exchanges)

     Maintains relations with current sponsors and actively seeks out potential sponsors
     Ensures that the terms, agreements, and needs of gala sponsors are met before, during and after the gala. This includes logo appearance on website and social media outlets, digital and print materials, acknowledgements during the gala, advertisements in the program book, complimentary tickets, table reservations at the gala, etc.
     Will work closely with the finance and marketing teams

Grants Coordinator
     Reports to the Vice-Chair, Vice-President of Special Projects, and Sponsorship Manager
     Works with the Sponsorship Manager to acquire sponsorships from local businesses and corporations. Sponsorships include may monetary donations, food donations, and/or publicity exchanges
•     Works with the Sponsorship Manager to deliver grants for award winners and participants

Programming Manager
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     Primarily responsible for overseeing the recruitment of entertainment and stage talent, as well as booking the audition venue(s)
•     Coordinates and executes floor plan, including seating, positioning of tables, stage, decorations, equipment, etc.
•     Working with the marketing department, responsible for recruiting entertainers, performers, and MCs for the gala
•     Creates an audition process to screen potential performers
•     Creates and executes a stage show and program for the day of the gala
•     Conducts rehearsals, sound checks, lighting checks with performers at the venue(s)
•     Oversees stage crew, technical issues (lighting, videography, staging), and backstage logistics for the gala
•     Coordinates and schedules a comprehensive, final-piece deadline with performers. Approves final-piece with the Vice-Chair VP of Special Projects
•     Directs logistic flow of the show with the venue and corresponds with venue staff

Programming Associate
•     Reports to the Vice-Chair, Vice-President of Special Projects, and Programming Manager

     Coordinates and schedules final-piece deadline with performers, along with the Programming Manager
•     Assists the Programming Manager in coordinating the logistics for the venue, rehearsals, sound checks, video shoots, workshops, etc.
•     Aids the Programming Manager and Marketing department in booking and setting up venue(s) and, corresponding with venue staff and performers, and other related ad-hoc requests
•     Working with the Programming Manager, helps recruit talents and develops scouting packages to disseminate to the rest of Special Project and MSYG team

Logistics Manager
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     Responsible for scouting and securing a suitable venue for the gala
•     Handles all venue booking details and responsible for liaising with venue staff
•     Coordinates and executes floor plan, including seating, tables, stage, decorations, equipment, etc.
•     Directs logistic flow of the gala at the venue (e.g. figures out where attendees, performers, and staff should be at certain times during the “Gala”)
•     Books catering for both performers and gala attendees
•     Secures all the necessary equipment needed for the event, including but not limited to lights, photography/videography equipment, stage, sound and AV equipment, banners, photo booths, etc.
•     Directs the set-up and tear-down of the event

Logistics Associate      
•     Reports to the Vice-Chair, Vice-President of Special Projects, and Logistics Manager
•     Assists with the planning and execution of floor plan
•     Helps book the necessary equipment required for the gala
•     Liaises with venue staff as needed
•     Helps with the set-up and tear-down of the event
•     Assists the Logistics Manager as needed

Finance Manager
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     In charge of budget and financial accounts and responsible for tracking all expenses and transactions made for the gala
•     Compiles transactions into a compendious report and consistently updates the Special Projects Team and MSYG Executive Committee Level members on the financial status of the project
•     Formulates strategies to facilitate cash-flow and payment from sponsors and businesses
•     Responsible for creating a ticketing system (both online and offline) to sell tickets to potential attendees
•     Responsible for selling tickets to potential attendees and facilitating the collection of payments
•     Working with the marketing department, devises a strategy and plan to identify target demographics and a system to maximize ticket sales
•     Responsible for handling and managing petty cash and bank deposits and/or reconciliations

Finance Associate
•     Reports to the Vice-Chair, Vice-President of Special Projects and Finance Manager
•     Assists in compiling transactions into a compendious report and providing updates to the Special Projects Team and MSYG Executive Committee Level members
•     Maintains and tracks sponsorship payments and information in a secure document. Monitors payment systems for any errors or inconsistencies
•     Creates a template for reimbursement of expenses and distributes reimbursements as necessary
•     Working with the marketing department, devises a strategy and plan to identify target demographics and a system to maximize ticket sales
•     Responsible for selling tickets to potential attendees and facilitating the collection of payments
   
Marketing Manager
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     Develops and oversees the planning and execution of all marketing and public relations for the gala
•     Supervises brand management to actively promote the gala
•     Working closely with MSYG Marketing team to introduce new marketing initiatives
•     Oversees Webmaster and Marketing Coordinator

 Webmaster
     Reports to the Vice-Chair, Vice-President of Special Projects, and Marketing Manager
     Creates and updates the gala website, which may include forms, menus, tables, frames, graphics (such as buttons and menus), and other elements
     Responsible for website maintenance, which includes updating the front page (and other pages as needed), deleting outdated content and adding current information, looking for and fixing errors, looking for and repairing broken links, making certain that all pages are correctly formatted, and other basic up-keep
     Maintains the website structure and organization, including backing up the website, deleting unused files and organizing directories
     Makes recommendations for design changes to site as needed

Marketing Coordinator
     Reports to the Vice-President of Special Projects and Marketing Manager
     Responsible for keeping track of demographic data and devising surveys & other methods of acquiring demographic data for event attendees
     Analyzes data from social media platforms and website, and along with the Marketing Manager creates a plan to increase user engagement
     Works closely with the Logistics and Programming team on event; includes refining event goals and determining marketing needs

Production Manager
•    Reports to the Vice-Chair and Vice-President of Special Projects
•    Responsible for all media content relating to the gala
•    Oversees production planning, operations, and logistics of Videographer(s), Photographer(s), and Digital Media Associate

Videographer
•     Reports to the Vice-Chair, Vice-President of Special Projects and Production Manager
•     Responsible for attending and documenting any gala-related events by producing and recording video clips

Photographer
•     Reports to the Vice-Chair, Vice-President of Special Projects and Production Manager
•     Responsible for attending and documenting any gala related events by producing a photo summary


Digital Media Associate
•     Reports to the Vice-Chair, Vice-President of Special Projects and Production Manager 
•     Post-processes pictures and uploads relevant files to an online cloud storage
•     Produces edited videos, photo albums, and/or slideshows for the promotion of any gala related events

Outreach Manager
•     Reports to the Vice-Chair and Vice-President of Special Projects
•     Acts as a team leader for brand ambassadors
•     Develops and executes strategies for developing gala branding
•     Works closely with both the gala marketing tea and MSYG marketing team for community outreach

Brand Ambassador
•     Reports to the Vice-Chair, Vice-President of Special Projects and Outreach Manager
     Actively promotes gala through social media outlets, word of mouth, and community outreach. Activities include representing and acting as a spokesperson for the gala, eliciting feedback from the community, and promoting the gala at universities and/or schools  




MARKETING DEPARTMENT

Public Relations Associate 
  • Reports to the Vice-President of Marketing
  • Responsible for outreaching to external organizations (community partners, media, potential sponsors, vendors, etc.)
  • Attends external networking events to facilitate relationships with outside organizations for the purposes of collaboration, co-promotion, sponsorship solicitation, or to garner media attention
  • Responsible for communicating and liaising with external organizations on behalf of MSYG
  • Produces media kit material (press release, media alerts, media backgrounder) for major MSYG events (e.g. Gala, Discover, etc.)
  • Solicits media and financial sponsors on behalf of MSYG
  • Develops and executes strategies for external recruitment of potential Youth Group members

Digital Media (Photography/Videography) Associate (1-2 positions)
  • Reports to the Vice-President of Marketing
  • Responsible for attending and documenting MSYG events by producing a photo summary and/or recording video clips
  • Post-processes pictures and uploads relevant files to an online cloud storage

Programs Department

In-House Coordinator (4 positions)
  • Reports to the Vice-President of Programs
  • Designs, creates and implements in-house events, in the form of coordinating performances and activities, for residents of various long-term care centers
  • Responsible for recruiting volunteers to assist with internal events
  • Liaises with Activation Supervisors to establish goals, expectations, and needs for events (Shifted from VP responsibilities)

Internal Events Coordinator (2 positions)
  • Reports to the Vice-President of Programs
  • Develops, organizes, and manages events related to youth development. These events include, but are not limited to: career and cultural workshops, speaker series, Developmental Challenge, etc.
  • Ensures the smooth and efficient execution of the aforementioned internal events

Mon Sheong PaddleBears Tryouts!

Hey All!


Tired of sitting around with nothing to do? Are you looking for a chance to get active and meet new people? 

Well here's your chance! With great success from the previous 2013 season, the medal winning Mon Sheong PaddleBears is now recruiting new members to join the team for the coming 2014 Season! 




Think you've got what it takes to be a PaddleBear? Then come join us at the Info Session on November 10th 2013, 11AM-1PM at the Mon Sheong Community& Volunteer Services Centre (2020 McNicoll Ave, Scarborough). 

Practices begin November 17th 2013, 11AM-1PM

MSYG Executive Positions -- NOW HIRING!

Current positions available:

1) Vice-President, Programs
  • Oversees the operations of the Dragonboat Team, and execution of In-House Events, and Internal Events
  • Provides updates and progress related to the aforementioned activities
  • Oversees the design, creation and implementation of in-house events for residents of various long-term care centres and assists with the in-house volunteer training program
  • Liaises with Activation Supervisors to establish goals, expectations, and needs for events

  • Attends and participates in all meetings as requested by the MSYG President

2) Vice-President, Special Projects

  • Working with the President and Vice-President, creates timeline for the execution of project deliverables
  • Supervises and sets the responsibilities for the Sponsorship Manager, Sponsorship Associate, Programming Manager, Programming Associate, Logistics Manager, Logistics Associate, Finance Manager, and Finance Associate
  • Reports to the President and Senior Vice-President on progress of activities
  • Attends and participates in all meetings as requested by the MSYG President

3) Vice-President, Operations
  • Oversees the coordination and facilitation of youth volunteers for Foundation and LTCC/Home Events (excludes In-House events)
  • Supervises the design, creation, and implementation of external (social) events
  • Recruits, manages, and sets responsibilities for the Volunteer Relations and Communications Coordinator and External Events Coordinators
  • Attends and participates in all meetings as requested by the MSYG President


4) Secretary

  • Attends all executive committee meetings (excludes sub-committee and committee level meetings)
  • Records minutes of meetings and ensures their accuracy, availability, and approval
  • Assists with the preparation and dissemination of materials for meetings
  • Ensures that timely, proper notification and reminders are given for executive committee meetings

5) Treasurer
  • Oversees, prepares, approves and presents budgets, accounts, and financial statements
  • Responsible for accurate and up-to-date record-keeping of finances for each department (may require liaising with committee members appointed to handle finances)

6) Webmaster
  • Reports to the Vice-President of Marketing
  • Creates and updates the MSYG website, which may include forms, menus, tables, frames, graphics (such as buttons and menus), and other elements

Mon Sheong PaddleBears 2013 Season

As summer draws to its end, unfortunately so does the dragon boat season for Mon Sheong's dragon boat team, PaddleBears. The season started off in mid-February with land practices every weekend held at the Mon Sheong McNicoll location's volunteer centre. After months of gruelling land practice, by May we were finally able to begin water practices at Sunnyside Paddling Club.






This season the team participated in 3 races - Pickering Dragon Boat Challenge, Toronto International Dragon Boat Race Festival, and the Toronto Cup. Although the team is created for recreational purposes, everyone gave each and every practice and race their all in hopes to bring home the gold medal. And all our hard work and dedication paid off as we won silver in Division P for 500m at the Toronto International Dragon Boat Race Festival!

The team as a whole has grown a lot from the beginning where most of us were unfamiliar with each other, but now we are close enough that we frequently have outings together outside of practice times such as meals after practices, team BBQs at Miliken Park, and board games day. In the fall we are expecting to hold a team potluck too! I think what makes the PaddleBears strong is the team's bond.

That and the shared determination in never giving up. In the qualifying heat of the Toronto Cup our boat capsized resulting us in dead last. But that didn't stop our spirits and we continued on trying despite the unbalanced weight distribution and the wavy waters. In the end, we managed to win in the Division B Finals with a time of 1:09 for 200m.

Mon Sheong 5K Fun Run/Walk

One of the big annual events that the Mon Sheong foundation holds is a 5K run/walk on Mother's Day. The event's purpose is to raise funds for the foundation through pledges and carnation sales from the people running or walking.

A tradition of this event is that it always seems to be held on the coldest day in May. After a week of summer like temperatures, today felt like winter once again. The volunteers and organizers gathered up in near freezing weather at Milliken park beginning around 6:45am to set-up.

Runners began to gather at the park around 8:00am, and the MSYG executive team, Discover organizers, and MSYG's Dragonboat team were out in force by then. While it may have been cold, it was at least bright and sunny at that point.

Alas, the sunny skies were not to last. By the time all the 5K run participants had gathered and were ready to run. The skies had turned dark grey and a bitter chill began to appear. Nonetheless the runners, including the whole of MSYG's Dragonboat team gathered at the start line. Conditions went from bad to worse there. As the Fairchild TV camera crew came out to film the start of the race, hail started to rain down on all the runners. But the race must go on, rain, shine, or hail even. The start gun (horn) went and the the runners were off.

A guy running in thin sandals blitzed the course and finished the 5K run in 14 minutes to capture first place. You'll be happy to know that all of the MSYG runners also finished the course without incident. Their times ranged from 18 to 29 minutes. So congrats to them. Practice hard over the course of the year so you can challenge the first place man next year for the title.

As the run finished, the much bigger 5K fun walk began. The run had around 40 participants meanwhile hundreds were out for the 5K walk, and they brought out banners as well to rep their groups.

After the run and the walk, the particpants were treated to a snack of juice box and apples. Not exactly the post-run nutrient boost needed for such a cold day. A nice hot chocolate and an egg mcmuffin would've hit the spot. But it being Mother's Day, I'm sure they all went off to have nice hot brunch meals with their mommy's.

As the event winded down, a prize draw was held for all the runners and walkers. The grand prize was a 50 inch LG smart TV. Unfortunately, the god of luck didn't smile upon any youth group members for that prize. MSYG's marketing coordinator Whitney did win a "bird's nest". If you don't know what that is, you're not 'Chinesey' enough.
